National Core Indicators® Survey Taking Place Now

National Core Indicators® (NCI) conducts member surveys to help agencies serving individuals with I/DD track performance. This year’s survey will take place from December 2025 to February 2026. Once NCDHHS has selected a sample of Vaya Health members to participate, Vaya will email their providers with additional information.

Changes to Vaya’s Managed File Transfer Platform

Effective Feb. 27, 2026, Vaya will update our secure file transfer platform. The update will provide users with a faster, modernized experience when uploading or downloading files securely. Learn more and view the new platform interface.

Updated Draft Provider Manual Available for Comment

Vaya has published a draft updated version of our Provider Operations Manual for a 30-day comment period. For a list of revisions, see Appendix B. The updated manual is scheduled to take effect March 5, 2026, or upon approval by the NCDHHS.

To submit comments, email manuals@vayahealth.com. The manual and all requirements outlined within it are a binding part of network providers’ contracts with Vaya. As always, please refer to the Vaya website for the most recent version of the manual.

Claims

Submit claims and review claims status through our secure Provider Portal. Vaya also accepts claims submissions via SFTP, electronic data interchange (EDI) files, or paper submission (in limited circumstances only).

Prior Authorization

Providers are responsible for requesting service authorization, supplying required documentation, and demonstrating medical necessity. To request prior authorization, submit a service authorization request through our Provider Portal. If you do not have access to the portal, visit our Prior Authorization webpage for alternate submission methods.

Authorization Guidelines 

Familiarize yourself with the authorization guidelines for services covered under Vaya’s Medicaid and State-funded benefit plans. Authorization decisions are based on medical necessity and made in accordance with individual needs, Medicaid waiver and clinical coverage policy requirements, federal regulations, clinical practice guidelines, and applicable federal and state rules and regulations. Not all services require prior authorization.

Whole-Person Care in North Carolina 

We know many things can affect health—from medical conditions or mental health concerns to housing, food, and transportation. Our Care Managers work with physical and behavioral health care providers and link Vaya members and recipients to community resources to help them get or stay well.
